Administrative Assistant


The Administrative Assistant position will assist the Office Manager in various day-to-day tasks regarding the business administrative needs. This can include data entry, payroll reporting, HR reporting, accounts payable and receivable, insurance, and meeting schedules. Report to and is supervised by the Office Manager. Overall job duties may change from time to time as needed.



Processes and enters vendor invoices into QuickBooks. Participates in vendor creation and assists with vendor account balancing while auditing show expenses. Specific duties include but are not limited to:

  • Audits expense reports for accuracy

  • Enters production-related expense receipts

  • Entry of W-9 and vendor status

  • Verification of vendor invoice to RPO

  • Entry of vendor invoices into QuickBooks


Processes and enters customer invoices and payments into QuickBooks. Participates in customer invoice creation and collection of past-due invoices. Manages all credit and bank accounts. Specific duties include but are not limited to:

  • Issuance of invoices to customers

  • Assists in the collection of ST3

  • Import/entry of customer invoices into QuickBooks

  • Updating and monitoring of company sales tax policies

  • Updating customer information in QuickBooks

  • Recording and tracking of receivables and preparation of bank deposits


Assists the General Manager with account reporting and financial statements. Assists in insurance and tax audits. Specific duties include but are not limited to:


  • Maintenance of an orderly filing system

  • Maintenance of the chart of accounts

  • Assists with insurance and tax audits by preparation of documents and reports

  • Monitors compliance with local, state, and federal government reporting requirements
